What is a Cloud and what benefits does it offer?
More and more companies are using cloud services. In a cloud solution, data is stored on an external server of a cloud provider. The exact location of the server where the data is stored depends on the location of the respective cloud provider. Cloud data is accessible worldwide online from any location – only an internet connection is required.
Benefits of a Cloud Solution include, for example:
- All devices connected to the cloud are always up to date.
- You save storage space on your internet devices such as computers, smartphones, or tablets.
- As a company, you no longer need to think about new hard drives and additional servers – this saves significant costs in the long run.
- You are flexible and can work from anywhere in the world using all devices.
- With the cloud, you can easily store larger documents, files, or entire folders and share them with your team. You decide who is part of the team.
- Private pictures or documents can also be outsourced to the cloud and shared with friends or edited from your laptop.
- Different people can work on a document at the same time – saving time. Administrative effort and complicated coordination processes are no longer necessary.
With the Cloud, working from anywhere is possible
With cloud technology, you can access stored cloud data from home, the office, or on the go using a smartphone. To do so, you usually need to log in as a user with a username or email address and a password on the relevant cloud service. All stored data remains private until shared with others. You decide who has access to which data and who can view your cloud files. If you want to access the data without an internet connection, you need to download it to the relevant device to use the data offline.
Before a company outsources sensitive data to a cloud, it is advisable to consult a data protection officer because, for example, authorities such as the FBI in the USA have access to information on servers of US companies (even without a court order). When using cloud systems, the same security measures as for other internet services should be taken. Issues such as data loss, backups, data deletion, data encryption, location of the cloud provider, etc., should be carefully examined before deciding on a cloud solution on the company side.
